Privacy Policy

Effective Date: July 20, 2026

PPLCARD (“PPLCARD,” “we,” “us,” or “our”) provides an employee identity validation service that allows users to quickly verify whether a caller or visitor claiming to be an employee of a specific company is legitimate. This Privacy Policy explains how we collect, use, disclose, and protect personal information in connection with our website (https://pplcard.com/), verification tools (including the Verify an Employee feature), and related services.

“Notice at Collection” or CCPA Summary:

Notice to California Residents: We collect the categories of personal information described in Section 1 for the business purposes described in Section 3. You have rights to know, delete, correct, and opt-out of sales/sharing as detailed in Section 6. See our full policy for more information.

By using our website or services, you agree to this Privacy Policy. If you do not agree, please do not use our services.

1. Information We Collect

We collect only the information necessary to provide and improve our employee identity validation service. We minimize collection and follow data minimization principles.

Information from Verifiers (e.g., customers or individuals verifying a caller):

  • The unique verification code you enter on our site.
  • Basic technical information automatically collected when you use the verification tool, such as IP address, browser type, operating system, device information, date/time of access, and pages visited.

We do not require you to provide your name, contact details, or other personal information to perform a verification.

Information from Client Companies and Employees:

  • Employee information provided by client companies or employers to enable the verification service. This may include names, employment status or identifiers, unique codes or credentials associated with employees, and related professional details necessary for validation.
  • Account or registration information if companies or authorized users create accounts to manage employee codes or access verification features (e.g., company name, contact details for administrators).

Information We Do Not Collect:

We do not collect sensitive personal information (such as Social Security numbers) directly from verifiers. Any sensitive information is handled only as provided by client companies under their authorization and our agreements with them.

2. How We Collect Information

  • Directly from you: When you enter a verification code on our site.
  • From client companies: When they provide employee data to set up or maintain verification capabilities.
  • Automatically: Through standard web technologies (e.g., server logs) when you visit our site or use the verification tool.
  • We do not use cookies or tracking technologies for advertising or cross-site tracking. We may use essential session cookies or similar technologies solely to enable the verification functionality and basic site operation.

3. How We Use Your Information

We use the information we collect for the following purposes:

  • To provide and operate the employee identity validation service, including processing verification requests and delivering instant confirmation results.
  • To maintain the accuracy and security of employee verification records (e.g., matching codes to verified employee data).
  • To prevent fraud, abuse, or unauthorized use of the service.
  • To improve, maintain, and troubleshoot our website and services.
  • To comply with legal obligations, respond to lawful requests, or protect our rights and the rights of others.
  • To communicate with client companies or authorized users regarding their accounts or the service (if applicable).

We may use automated processes to match codes and deliver results. You may have rights to opt-out or request human review where required by law.

We do not use personal information for marketing, targeted advertising, or unrelated commercial purposes unless you have provided explicit consent or it is otherwise permitted by law.

4. How We Share Information

We share personal information only as necessary and with appropriate safeguards:

  • With client companies: Verification results are provided to the person performing the verification (the verifier). Limited information may be shared back with the relevant client company in accordance with our agreements (e.g., verification logs for their records or security purposes).
  • Service providers and processors: We may share information with trusted third parties who help us operate our service (e.g., hosting providers, cloud infrastructure, or technical support). These parties are contractually obligated to protect the information and use it only for the purposes we specify. We conduct due diligence on these providers and require them to maintain appropriate security and confidentiality.
  • Legal and safety reasons: We may disclose information if required by law, legal process, or to protect the rights, property, or safety of PPLCARD, our users, or the public.
  • Business transfers: In the event of a merger, acquisition, or sale of assets, information may be transferred as part of that transaction, subject to this Policy or an updated one.

We do not sell personal information. We do not share information for cross-context behavioral advertising.

5. Data Retention

We retain personal information only as long as necessary for the purposes described in this Policy, to provide the service, or to comply with legal obligations:

  • Verification codes and related transaction logs are typically retained for a limited period (e.g., 30 days) to support audit trails, dispute resolution, and service security, after which they are securely deleted or anonymized.
  • Employee data provided by client companies is retained in accordance with our agreements with those companies and applicable law.
  • Technical logs (e.g., IP addresses) are retained for security and operational purposes for a short period and then deleted.

You or client companies may request deletion of certain information, subject to legal or contractual limitations.

6. Your Rights and Choices

Depending on your location and applicable law (e.g., CCPA/CPRA for California residents or GDPR for EU/UK residents), you may have rights such as:

  • Access to the personal information we hold about you.
  • Correction of inaccurate information.
  • Deletion of your personal information (subject to exceptions).
  • Opt-out of any sale or sharing of personal information (we do not sell data).
  • Restriction or objection to certain processing.
  • Data portability.

To exercise these rights, please contact us using the details below. We may need to verify your identity before fulfilling certain requests. We will respond within the timeframes required by law and will not discriminate against you for exercising your rights. Client companies may have additional rights or obligations regarding the employee data they provide to us.

7. Security

We take the security of personal information seriously. We implement reasonable technical, administrative, and physical safeguards designed to protect against unauthorized access, use, disclosure, or destruction. These include encryption where appropriate, access controls, and regular security practices. While we strive to protect your information, no method of transmission or storage is 100% secure. We cannot guarantee absolute security but will notify affected individuals and relevant authorities as required by law in the event of a data breach. In the event of a data breach that is likely to result in a risk to individuals, we will notify affected users and regulators as required by applicable law (e.g., within statutory timelines under state breach notification laws).

8. International Transfers

If you are located outside the United States or if we transfer information internationally (e.g., to service providers), we take steps to ensure appropriate protections are in place, such as standard contractual clauses or other lawful mechanisms.

9. Children’s Privacy

Our service is intended for adults and businesses. We do not knowingly collect personal information from children under 13 (or under 16 in certain jurisdictions). If we become aware that we have collected such information, we will delete it.

10. Changes to This Privacy Policy

We may update this Privacy Policy from time to time to reflect changes in our practices or legal requirements. We will post the updated Policy on this page with a new effective date. Your continued use of our services after changes constitutes acceptance of the updated Policy.
